Document scanning for translation | Completeness, file size and privacy
Scanning creates an image file, not a certified copy or proof of authenticity. Choose resolution and format for readability and recipient limits rather than assuming 600 dpi suits every application.

Arrange intake and inventory originals before scanning
Book with staff before handing over originals in Bangkok or at Khon Kaen headquarters. Record pages, reverse sides and damage, then agree return arrangements. Do not send valuable records without confirmed receipt arrangements.
Balance visible detail with upload limits
Check small text, seals, colours and annotations alongside recipient file-size limits. Higher resolution cannot restore faded source text. Agree separate files or combined PDFs for the actual request.
Preserve page edges and source marks without retouching evidence
Capture complete pages and reverse sides. Do not erase seals, annotations or corrections to make records look new. Agree any redaction with the recipient and identify it transparently; do not alter source content.
Keep scanning separate from translation and copy certification
A scan is not automatically a translation or certified copy. For NAATI work, check the actual translator’s CPN, certification and language direction. CCL is not professional translator certification. Arrange originals or certified copies separately if required.
Agree transfer, retention and the actual quotation
Specify transfer channels, access and confirmed retention periods. No lifetime storage or universal retrieval promise is made. Contact our team for a quotation and return arrangements. Never share passwords or OTPs.
Questions before commissioning
Is 600 dpi always best for submissions?
Not necessarily. Files must be readable and fit the recipient’s upload limits.
Is a colour scan a certified copy?
No. It is an image file; copy certification follows separate recipient requirements.
Are files retained for life?
No such promise is made. Agree retention and deletion with staff for the actual assignment.
